What to Buy for a Fitness Workshop

A fitness workshop needs more than mats and weights. You’ll need enough equipment for the training stations, plus towels, drinks and practical items for registration and refreshment service. Check quantities against your participant list before shopping, especially when several people will use the same equipment at once. Arrange missing materials at least one week before the workshop so there is time to confirm delivery, test the speaker and prepare the sports hall.

Tips

  • Plan one fitness mat per participant if the programme includes floor exercises. If mats are shared between sessions, allow time to wipe them down before the next group starts.
  • For station-based training, count the equipment at each station first, then add one spare item for frequently used pieces such as resistance bands, skipping ropes and light dumbbells.
  • Prepare at least 500 ml of water per participant for a short workshop, and more for sessions lasting several hours. Chill drinks before guests arrive and keep extra water available throughout the training.
  • Bring one towel per participant plus a few spares for equipment and spills. Towels are often forgotten because they are treated as personal items, but they are useful at the training stations.
  • Check power needs at least one day before setup. Test the portable speaker and interval timer, and pack extension cords, power strips and phone chargers where they can be reached without crossing walking routes.

Frequently asked questions

How many fitness mats do I need for a workshop?
Use one mat per participant for floor-based exercises. For 20 participants, prepare 20 mats and keep 1 or 2 extra mats available if storage and transport allow.
How much water should I buy for a fitness workshop?
Plan at least 500 ml per participant for a short session and around 1 litre per person for a longer workshop or warm venue. Add extra water for the trainer and volunteers.
What equipment is needed for fitness workshop stations?
The plan uses fitness mats, yoga blocks, resistance bands, light dumbbells, kettlebells, skipping ropes, Pilates balls, training hoops and cones. Count each station’s equipment separately and check stock at least one week before the event.
When should I buy supplies for a fitness workshop?
Check the shopping list and existing stock 7 days before the workshop. Buy drinks and other consumables 1 to 2 days beforehand, then chill the drinks and set out the equipment on the day.
