Farmers market checklist: what to arrange and when

A farmers market needs more than confirmed vendors and a row of tables. You need a workable layout, enough chilled and fresh storage, clear payment arrangements, and time to build the stalls before visitors arrive. Start by fixing the date and location, then manage exhibitor registrations and assign spaces before ordering supplies. In the final week, confirm the forecast, print the programme and check every item on the shopping list. This checklist keeps planning, purchasing and setup in a practical order.

Tips

  • Assign exhibitor spaces at least 7 days before the market so you can print an accurate programme and prepare stall signage. Leave clear routes for transport carts and keep customer paths separate from vehicle access.
  • Check power requirements with every exhibitor before the final layout is fixed. Count outlets, extension cords and cable reels, and keep cables away from walkways; test coffee machines, kettles and lighting before opening.
  • Buy fresh produce as close to market day as possible, ideally within 24 hours. Pick up chilled products on the day or the evening before, then use coolers, refrigerators and ice to keep them cold during setup.
  • Allow at least 2 hours for physical setup when using party tents, market stalls, tables and chairs. Put up tents first, then place stalls, connect power and lighting, and finish with tablecloths, signs and serving equipment.
  • Prepare payment and refreshments before the first visitors arrive. Set up payment terminals and a cash register with change, fill water jugs and drink dispensers, and count reusable cups, plates, cutlery and serving utensils against the expected attendance.

Frequently asked questions

How far in advance should I organise a farmers market?
Fix the date and location at least 8 weeks ahead if you need multiple exhibitors. Send invitations early, close registrations around 3 weeks before the market, and make final stall assignments at least 7 days before opening.
How much setup time does a farmers market need?
Allow 2 to 3 hours for tents, stalls, tables, chairs, power, lighting and signs. Add another 30 minutes for fresh produce, chilled goods, payment equipment and refreshments, especially if several people arrive at different times.
When should I check the weather forecast for a farmers market?
Check it 7 days before the event to review shelter and ground conditions, then check again 48 hours and 3 hours before opening. Use the final forecast to confirm tent arrangements, clothing guidance for exhibitors and any changes to the layout.
How much change should I prepare for a farmers market?
Prepare enough small notes and coins to give change for at least the first 20 transactions at each cash point. Confirm whether exhibitors use their own payment terminals, and test every terminal and cash register before setup is complete.
