  • Finalize the program before sending invitations, then confirm every speaker before publishing session details. Collect presentation files several days in advance and test them on the actual laptop, projector and HDMI adapters.
  • Open registration as soon as the date, program outline and venue are fixed. Set a clear deadline for dietary requirements, and update the participant list at least once a week as registrations arrive.
  • Reserve the venue, chairs, tables, registration desk and buffet tables early enough to confirm the room layout. Check that speaker chairs, stools and coat racks fit without blocking entrances, signage or accessible routes.
  • Treat the technical setup as a separate rehearsal: test the projector, screen, microphones, stands, speakers, mixer, extension cords and power strips together. Keep power banks and spare HDMI adapters available for last-minute device or connection problems.
  • Prepare the arrival and closing materials before event week. Print name badges, directions, signage, the run sheet and action forms, and put reusable cups, glasses, plates, bowls and serving utensils at the catering point before guests arrive.
