  • Set the rehearsal schedule before copying sheet music, so every section has the correct material and musicians are not waiting for missing pages. Keep a few spare copies ready for last-minute changes.
  • Close registrations early enough to collect dietary requirements and create the attendance list. A deadline of 3–5 days before the rehearsal gives you time to order catering and adjust quantities.
  • Check the piano, microphones, audio system, music stands and power strips before opening the room. Test every powered item in its intended position and keep extension cords where they cannot become a trip hazard.
  • Plan the room setup around the rehearsal sections: place chairs, the conductor’s lectern and music stands before participants arrive, then mark section areas clearly. Allow at least 30 minutes for setup and ventilation.
