What You Need for a Drawing Workshop

Use this drawing workshop shopping list to prepare materials for demonstrations, guided exercises, and individual practice. Plan paper and core drawing tools for every participant, then add shared supplies such as watercolor sets, brushes, palettes, and water cups. Check the room before shopping: tables, chairs, lighting, ventilation, projection equipment, and enough power access affect what you need to bring. Buy or borrow consumables early so missing materials do not delay the workshop.

Tips

  • Allow at least 10 sheets of A4 drawing paper per participant for warm-ups and exercises, plus A3 paper for larger demonstrations or finished studies. Keep extra paper aside for late registrations and mistakes.
  • Provide one graphite pencil, eraser, sharpener, ruler, and kneaded eraser per participant where possible. For a group of 12, prepare at least 14 of each shared or easily lost item.
  • Treat colored pencils, fine liner sets, wax crayons, watercolor paint sets, and brush sets as shared stations unless every participant needs a full set. Two to three watercolor sets and one brush set per four participants is a workable starting point.
  • Protect each work table with a table cover and place paper towels and waste bins where participants can reach them. One waste bin for every two tables keeps scraps and used paper from piling up.
  • Check presentation equipment at least one day before the workshop: test the projector, projection screen, presentation remote, extension cords, and power strips together. Set out coffee cups only after the coffee and tea station is ready, so they stay clean.

Frequently asked questions

How much paper do I need for a drawing workshop?
Plan for 10 A4 sheets per participant for exercises, plus 2 A3 sheets per participant for larger work. For 12 participants, that means at least 120 A4 sheets and 24 A3 sheets, with extra paper for mistakes.
What drawing materials does each participant need?
Give each person a sketchbook or drawing board, graphite pencils, an eraser, a kneaded eraser, and a sharpener. Add rulers and drawing clamps when the exercises require measured work or secured paper.
How many watercolor supplies are needed for 12 people?
Prepare at least 3 watercolor paint sets, 3 brush sets, 6 mixing palettes, and 12 water cups. Add paper towels at every table so participants can clean brushes and manage spills without leaving the room.
When should I buy supplies for a drawing workshop?
Check the shopping list 7 days before the workshop and buy consumable materials no later than 3 days beforehand. Test borrowed equipment and count every material again the day before setup.
