Drawing Workshop Checklist
Use this checklist to organize a drawing workshop from the first booking to the opening demonstration. Set the date and venue early, then confirm the instructor, registrations, dietary requirements, and program. Most of the practical work happens in the final days: checking paper and drawing materials, preparing worksheets and name badges, and setting up tables, lighting, ventilation, and refreshments. On the day, allow enough time to open the room, arrange the reception desk, distribute materials, and welcome participants before the workshop begins.

Tips
- Set the venue, date, and instructor before sending invitations. This gives you firm details for registrations and leaves time to adjust the program if the instructor is unavailable.
- Close registrations at least 3 to 5 days before the workshop. Use the final participant list to prepare name badges, check dietary requirements, and estimate paper, pencils, water cups, and coffee cups.
- Check art supplies twice: once after shopping and again the day before. Count drawing paper, sketchbooks, pencils, erasers, sharpeners, rulers, boards, paints, brushes, and water cups rather than assuming a complete kit is available.
- Plan the room setup at least 60 minutes before participants arrive. Arrange work tables and chairs, cover the tables with paper or table covers, place drawing materials, and test the projector, screen, extension cords, and power strips.
- Keep reception and refreshments separate from the drawing tables. Set up the reception desk before opening the room, then fill the coffee and tea station and place waste bins where participants can reach them without interrupting the workshop.
Frequently asked questions
- How early should I book a drawing workshop venue?
- Book the venue as soon as the date and expected group size are known, preferably 4 to 8 weeks ahead. This gives you time to confirm work tables, chairs, lighting, ventilation, and space for a presentation table and reception desk.
- How many art supplies do I need per drawing workshop participant?
- Prepare one working space per participant, including paper, a sketchbook or drawing board, graphite pencils, an eraser, a sharpener, and any shared materials used in the exercises. Add at least 10% extra paper and a few spare pencils and erasers for replacements.
- When should I send drawing workshop invitations?
- Send invitations 3 to 4 weeks before the workshop and set a registration deadline 3 to 5 days before it. Use the final registration list to confirm attendance, dietary requirements, name badges, and the amount of materials to distribute.
- How much setup time does a drawing workshop need?
- Allow at least 60 minutes for a straightforward setup and 90 minutes if you need a projector, watercolor materials, or several table layouts. Test lighting, ventilation, power connections, and the presentation equipment before participants arrive.
