  • Set the programme before inviting exhibitors. Allow time for demonstrations, test rides and changeovers, then use the finished schedule for invitations, signage and the printed run sheet.
  • Treat exhibitor information as a live list. Confirm each exhibitor’s arrival details, demonstration needs and place on the floor plan at least one week before the show.
  • Plan registration and reception separately from the riding area. Keep name badges, price lists and the registration information at the reception desk so visitors do not block bike access.
  • Test every demonstration and audio item before opening. Check speakers, the mixer, wireless microphones, monitor screen, extension cords and power strips together rather than discovering compatibility problems on the day.
  • Prepare the cycling equipment in activity groups. Put helmets, bike locks and cones with the test-ride area, and keep pumps, tire levers, multitools, spare inner tubes and chain oil beside the work stands.
