  • Set the date, location and route before contacting clubs or publishing invitations. Permit applications and traffic arrangements can take several weeks, so do not leave them until registrations are already open.
  • Plan registration around the participant list and dietary requirements. Set a closing date at least 7 days before the festival so catering quantities, bib numbers and the printed schedule can be finalized.
  • Assign volunteers to specific jobs and time slots, including route points, registration, repairs, refreshments and traffic control. Give each person directions and a contact number before event day.
  • Check the cycling equipment at least 2 days beforehand. Test every bike, helmet, pump, repair stand, stopwatch and microphone, and keep spare bicycles, inner tubes and tool kits together in one clearly marked area.
