  • Confirm the route and practice area before inviting people. Mark where riders start, finish and practise, and check that cones, signs and route arrows will be visible from every approach.
  • Collect emergency contacts and dietary requirements during registration, not on the day. Keep the participant list with the mobile phone and first aid kit at the reception table.
  • Inspect loan bikes, helmets and repair equipment at least 3–5 days before the course. Inflate tyres, check brakes and gears, and make sure you have pumps, repair kits and spare inner tubes available.
  • Set out the course before participants arrive, allowing at least 60 minutes for the field inspection, tables, reception area, bikes, helmets and traffic markers. Walk the route once yourself before opening registration.
  • Check the weather forecast 24 hours before the course and send a reminder with the meeting time, clothing guidance and any route information. Chill drinks and fill thermos flasks only after the final attendance count is known.
