Cycle race shopping list

A cycle race needs more than bikes and a finish line. You need equipment for registration, clear route marking, rider support, communications, timing and a controlled finish area. Buy or bring consumables early, especially safety pins, drinking water and spare inner tubes, because these are easy to underestimate. Use the final participant count to scale bib numbers, water and registration supplies, then check power and weather protection before event day.

Tips

  • Prepare one bib number and one bib holder per rider, plus at least 10% extra for replacements or late changes. Keep safety pins at registration rather than assuming every rider brings them.
  • Plan drinking water by rider count: start with two 500 ml bottles per participant for the event, then add extra crates for volunteers, hot weather and delays. Store the water in coolers or shaded party tents.
  • Bring route arrows and cones for every junction, turn and hazard, with spare signs packed separately. Walk or ride the route the day before and keep basic tools, bike pumps, spare inner tubes and tire levers at the finish area.
  • Set up registration with a table, laptop, printer, extension cords, power strips and a payment terminal if entries or purchases are handled on site. Pack printed bib numbers and the participant list in a waterproof folder.
  • Test the sound system, wireless microphones, megaphones and walkie-talkies at least one hour before riders arrive. Keep the competition clock visible from the finish line and reserve a second communication method if the main system fails.

Frequently asked questions

What should I buy for a cycle race?
Buy or bring bib numbers, bib holders, safety pins, route arrows, cones, water bottle crates, bike pumps, spare inner tubes, tire levers and basic tools. You will also need registration furniture, communications equipment, timing equipment and waste bins.
How much water do I need for a cycle race?
Allow two 500 ml bottles per rider as a starting point, then add extra water for volunteers and warm conditions. For example, 100 riders require at least 200 bottles before adding a reserve.
How many spare bib numbers and safety pins should I get?
Prepare one bib number per registered rider and add at least 10% spare numbers. Buy at least two safety pins per bib, plus another 10% for lost or damaged pins.
When should I prepare the cycle race equipment?
Check the full equipment list at least 7 days before the race and test electrical and communication equipment 1 day before. Set out registration, timing and finish-line equipment at least 1 hour before rider check-in.
