  • Apply for the competition permit and traffic measures before publishing the registration form. Allow at least 6–8 weeks for approvals, and do not assume a previous event’s permission still applies.
  • Record the full course and revisit it twice: once after planning the route and again during race week. Count every junction needing a traffic post, then match those points with volunteers and walkie-talkies.
  • Close registration at least 7 days before the race if you need time to process entries, assign starter groups, print bib numbers and collect dietary requirements. Keep a final participant list on the laptop and a printed copy at registration.
  • Prepare route signs, maps and volunteer instructions no later than the day before. Pack spare wheels, pumps, bike tool kits and power banks together so mechanical or communication problems can be handled without searching for supplies.
  • Set up the finish area before riders arrive: place the finish ribbon, stage blocks, prize table, medals, cups, tables and waste bins. Test the microphones, sound system, extension cords and power strips during setup, not when the first rider is approaching.
