  • Set the race format and categories before opening registration. This determines the start list, bib numbers, timing setup and the information participants need when they sign up.
  • Start permit and traffic-measure applications early enough to allow for changes. Confirm the course, start and finish location, traffic posts and crowd-control equipment before the final course inspection.
  • Build the volunteer schedule around fixed posts, not just headcount. Assign names to junctions, registration, start and finish, and give every team a walkie-talkie or another reliable way to communicate.
  • Check timing equipment and power before race day. Test the timing set, stopwatches, laptop, tablets, chargers, extension cords and backup power together rather than discovering a missing connection at the finish.
  • Prepare a small mechanical support point near the event area. Bike pumps, spare inner tubes and bike tool kits are easy to forget, while water bottle crates and cups should be placed where riders can reach them quickly.
