  • Set a registration deadline at least 7 days before the workshop so you have time to update the participant list, collect dietary requirements and send final confirmations.
  • Prepare one complete materials set per workstation, plus a small reserve of paper, pencils and other consumables. Check every set against the worksheet before placing it on the tables.
  • Allow at least 60 minutes for room setup. Work tables, chairs, reception, buffet service, waste bins, presentation equipment and workstation materials all compete for the same floor space.
  • Test the laptop, presentation screen, flip chart and power connections before participants arrive. Bring extension cords and power strips, and keep cables away from walkways.
  • Chill drinks and prepare coffee supplies before opening registration. Put plates, bowls, cutlery, glasses and serving utensils at the buffet so the welcome period does not become a queue at the kitchen area.
