  • Set the route and starting location before opening registration. Apply for the route permit early, then confirm toilets, access and power at the start and finish area.
  • Close or review registration several days before the run so you can check the participant list, prepare bib numbers and collect dietary requirements before shopping.
  • Plan volunteers by task rather than assigning everyone on arrival. Have people responsible for registration, course signs, refreshments, timing and the finish area, and brief them before race day.
  • Put out signs, cones, barrier tape and the start and finish arch before participants arrive. Walk the full course once to check that every turn is visible and that signs have not shifted.
  • Finish the event setup with a short equipment check: test the portable speaker and wireless microphone, connect extension cords safely, chill drinks and prepare coffee and tea before the first runners return.

How early should I apply for a couples run route permit?
Start the permit application at least 6 to 8 weeks before the run. The exact lead time depends on the route and local authority, so do not publish the final route before checking the requirements.
When should couples run registration close?
Close registration about 5 to 7 days before the event if you need time to prepare bib numbers, wristbands, the participant list and catering quantities. Keep a small buffer for late changes and no-shows.
How many volunteers do I need for a couples run?
For a small run, plan at least 1 volunteer for registration, 1 for timing or the finish, and 1 course marshal at each busy turn. Add separate help for refreshments and setup if those jobs cannot be combined safely.
