  • Set the date and venue before contacting exhibitors, then allow at least two weeks to process registrations and confirm the final exhibitor list. Send the finished layout to exhibitors before event day.
  • Plan the room with tables, chairs, display panels, folding counters and clear walkways. Mark table numbers early so exhibitors can find their places without asking volunteers during setup.
  • Test every card terminal, cash register, cash box, extension cord and power strip at least one day before the fair. Bring spare charging and power options because payment problems are difficult to solve once visitors arrive.
  • Keep the loading and unloading zone clear for setup, and have hand trucks and storage crates ready. Set up tables and display equipment before exhibitors arrive, leaving enough time to correct the layout.
  • Order catering only after collecting dietary requirements, and check the shopping list before buying. Chill drinks and prepare coffee equipment, cups, glasses, plates and cutlery on the day before or early on event day.
