  • Set the date, opening hours and site layout before contacting stallholders. Mark entrances, exits, stall positions, checkout tables, storage areas and power points so suppliers and volunteers receive one consistent plan.
  • Give stallholders a firm registration deadline and publish the final layout after registrations close. Collect dietary requirements at the same time; changing food arrangements on the setup day creates avoidable delays.
  • Confirm supplier delivery times at least several days before opening and assign someone to receive each delivery. Check fresh produce separately from non-perishable stock, because both often arrive on different schedules.
