- Check film rights before sending invitations. A film that works at home may still require permission for a public screening, so confirm this early enough to change the programme if needed.
- Test the complete film setup at least one day before the event. Play the video from the laptop through the projector and speakers, check subtitles, and keep spare batteries and the remote control ready.
- Close registrations before preparing the final participant list. Use the list to confirm numbers, dietary requirements and seating needs instead of estimating snacks and chairs on the day.
- Chill drinks and check groceries before the venue opens. Put popcorn, snacks, reusable bowls and serving tongs out only after the room and food area are ready, so children are not walking through the setup.
