Chess tournament shopping list
Use this list to prepare the equipment, tableware, drinks, catering supplies, and admin materials for a chess tournament. Plan one chessboard and one chess clock for every active match, plus spare equipment for failures or late additions. You will also need a registration setup, printed schedules, name badges, refreshments, and prizes. Confirm the player count before shopping so you can scale drinks, cups, plates, and catering without running short.

Tips
- Count active games before buying equipment: a tournament with 32 players needs 16 chessboards and 16 chess clocks when everyone plays at once. Add at least 1β2 spare clocks and a spare board if possible.
- Prepare drinks for the full playing schedule, not just arrival. As a starting point, allow 2β3 drinks per person for the first hour, then about 1 drink per person per additional hour.
- Buy or bring 10% more cups, plates, and cutlery than your confirmed player count. For 40 players, that means at least 44 of each item, before counting volunteers and guests.
- Print the participant list and match schedule before the venue opens, and bring a laptop, printer, extension cords, power strips, and a tested Wi-Fi router for registration and pairings.
- Order prizes early enough to arrive before tournament day, and pack name badges, wayfinding signs, the tournament banner, and tablecloths together so they are not forgotten during setup.
Frequently asked questions
- What equipment do I need for a chess tournament?
- For every game played at the same time, prepare 1 chessboard, 1 complete set of chess pieces, and 1 chess clock. Add 1β2 spare clocks, plus a laptop and tested pairing system for administration.
- How many chess boards do I need for 32 players?
- If all 32 players compete in simultaneous games, you need 16 chessboards and 16 chess clocks. Bring at least 1 spare board and 1β2 spare clocks for equipment problems.
- How much food and drink should I buy for a chess tournament?
- For the first hour, allow 2β3 drinks per person, then about 1 additional drink per person for each later hour. Buy at least 10% extra cups, plates, and cutlery, and include volunteers in the catering count.
- What should I prepare for chess tournament registration?
- Set up a registration desk with the participant list, name badges, a laptop, and printed schedules. Have everything ready at least 30 minutes before doors open so late registrations do not delay the first round.
