What to Buy and Bring for a Chess Camp

A chess camp needs more than boards and chess pieces. You also need enough clocks, tables, seating, registration supplies, teaching materials, food, and drinks to keep the day moving without interruptions. Plan the equipment around the number of participants, then add a small backup supply for missing or damaged items. This checklist also covers the things organisers often remember too late, such as extension cords, name badges, serving equipment, certificates, and a visible schedule.

Tips

  • Plan one chess set per playing pair, plus at least two spare sets for lost pieces, damaged boards, or simultaneous activities. If games use timed rounds, prepare one chess clock for every active board and keep spare batteries available.
  • For the teaching area, bring a demonstration chessboard, a flip chart, markers, and chess puzzles. Print the schedule and keep it at the registration table so participants and supervisors can check the next activity without asking.
  • Set aside one registration place with name badges, the participant list, pens, and practical information for parents. Prepare the badges before participants arrive; writing them during check-in creates a queue within minutes.
  • For drinks, use reusable cups, serving jugs, thermos flasks, and coolers according to the number of participants and breaks. Keep food-serving items such as plates, cutlery, serving platters, tongs, chopping boards, and kitchen knives together instead of distributing them across the room.
  • Check the room equipment the day before: tables, chairs, coat racks, a wall clock, extension cords, and power strips. Bring prizes and certificates in labelled envelopes so they are ready when the final activity ends.

Frequently asked questions

How many chess sets do I need for a chess camp?
Allow one complete chess set for every two players who may play at the same time. Add at least two spare sets, or about 10% extra for a larger camp, so one missing piece does not stop a game.
How many chess clocks are needed for a chess camp?
You need one chess clock for each board running a timed game. For example, 20 simultaneous boards require 20 clocks; bring two spare clocks if the schedule depends on timed rounds.
What food and drink equipment is needed for a chess camp?
Prepare reusable cups, plates, cutlery, serving jugs, thermos flasks, coolers, serving platters, tongs, chopping boards, kitchen knives, and serving spoons. Have these ready at least 30 minutes before the first break, not when participants are already queuing.
When should I prepare the chess camp shopping list?
Finalise the list at least one week before the camp, after registrations and dietary requirements are checked. Buy non-perishable supplies several days ahead and check fresh food, drinks, prizes, and certificates again the day before.
