Tips

  • Choose the tournament format before sending invitations. Record the number of rounds, match length and prize structure so participants know what they are signing up for and you can build the schedule around it.
  • Close registration before drawing the match schedule. Allow at least 2–3 days to check attendance, dietary requirements and player numbers before printing round cards and score sheets.
  • Prepare one complete playing station per match, then add spare equipment. Keep spare boards, pieces and at least one backup clock at the registration desk rather than in a storage box across the venue.
  • Set up the registration desk before players arrive, with the laptop, printer, paper, pens and tournament folder ready. Test the extension cords and power strips early, especially if the clocks or catering equipment share the same outlets.
