Tips
- Allow roughly 0.5 litres of water per participant and volunteer for a short parade, then add extra drinks for warm weather. Chill drinks before setup and keep a separate supply for route staff who cannot leave their posts.
- Prepare route signage in advance: bring at least one clear sign for every key turn, entrance, exit and restricted area, plus tape, rope and cable ties for fixing them securely.
- Plan one communication device for each route lead, traffic controller team and first-aid team, with at least two spare power banks or fully charged backup devices. Test the walkie-talkies and portable speakers before participants arrive.
- For the start and finish areas, count tables, chairs and tents by station rather than by guest: registration, refreshments, volunteer briefing and first aid each need a stable working surface and weather cover where required.
- Pack lighting and repair supplies even for a daytime parade. Bring flashlights, spare batteries, LED lamps, extension cords, power strips and extra tape because setup, delays or a late finish can leave parts of the route dark.
