Career fair checklist: what to arrange and when

A career fair depends on dozens of small arrangements landing at the right time. Start with the date, venue layout, permits and participating employers before opening registration. In the final weeks, confirm attendees, collect dietary requirements, send exhibitor instructions and prepare the floor plan. This checklist also covers the details that are often left too late, such as power outlets, name badges, presentation files, signage and enough serving equipment for catering.

Tips

  • Set the date and room layout before inviting employers or schools. The number and position of tables, chairs and high tables determines how many exhibitors you can accept and where registration, catering and presentations will fit.
  • Give exhibitors a firm information deadline at least 7 days before the fair. Ask for presentation files, equipment needs and materials in advance so laptops, projectors, microphones, power strips and extension cords can be checked together.
  • Close participant registration 2 to 3 days before the event and use the final list for name badges, catering quantities and confirmations. Dietary requirements are easy to miss when they are collected only at the door.
  • Prepare signage, the printed program and site map at least 1 day before opening. Include the registration desk, exhibitor stands, presentation area, refreshments and exits; last-minute printing leaves no time to correct a crowded layout.
  • Test every presentation position on site 2 to 3 hours before doors open. Check projector and screen visibility, speakers and microphones, available power outlets, chargers and presentation clickers before exhibitors arrive.

Frequently asked questions

How far in advance should I start planning a career fair?
Start at least 8 to 12 weeks before the fair. Use the first 2 weeks for the date, venue, room layout, permits and insurance, then approach employers, schools and trainers before publishing registration.
When should employers receive their career fair information?
Send exhibitor information 7 to 14 days before the event. Include arrival time, stand location, table and chair arrangements, presentation deadlines, parking or access instructions and the deadline for requesting technical support.
How much catering do I need for a career fair?
Base quantities on the confirmed participant and exhibitor list, then add a small buffer of about 10%. Finalize dietary requirements 2 to 3 days beforehand and check that coffee cups, glasses, plates, cutlery, serving trays and cooling equipment match the menu.
When should I set up the technology for a career fair?
Complete the technical check 2 to 3 hours before opening and repeat it after the room is fully arranged. Test the projector, screen, speakers, microphones, laptops, chargers, presentation clickers, power strips and extension cords at their actual positions.
