Canoe race checklist and organising plan
A canoe race needs more than boats and a start line. You must secure the venue, obtain the competition permit, prepare a safety plan and make sure every participant has the right equipment. This checklist takes you from early registrations and volunteer assignments to race-day setup, including buoys, timing, first aid and emergency communication. Use it to keep safety-critical work ahead of shopping and decoration, and to avoid discovering missing paddles or unclear start lists on the day.

Tips
- Start permits and the safety plan before opening registrations. Keep enough time to confirm the venue’s water access, emergency arrangements and any requirements for rescue equipment.
- Inspect every competition canoe and paddle before race day, then keep at least one spare canoe and one spare paddle ready. A quick check on the morning can catch damage, loose fittings or unsuitable equipment.
- Prepare race numbers, start lists and competition rules at least 2–3 days in advance. Keep a waterproof copy of the start list and emergency numbers at the registration desk and with the race officials.
- Assign volunteers to specific jobs rather than asking for general help. Cover registration, the start and finish areas, buoy checks, timing, refreshments and safety communication before setup begins.
- Set up the course and safety equipment before participants arrive. Place race buoys, mark both lines, test the stopwatch and megaphone, and check that throw lines, life rings and first aid equipment are easy to reach.
Frequently asked questions
- How far in advance should I organise a canoe race?
- Start venue and permit arrangements at least 8–12 weeks before the race. Open registration only after the course, safety plan and basic equipment availability are confirmed.
- How many volunteers do I need for a canoe race?
- Plan for at least 1 volunteer at registration, 2 at the start, 2 at the finish and 1 person responsible for safety communication. Add more course or timing volunteers as the number of heats increases.
- What safety equipment is needed for a canoe race?
- Provide a life jacket for every participant, plus a life ring, throwing line, first aid kit, emergency blankets and a resuscitation mask. Keep waterproof walkie-talkies and printed emergency numbers available throughout the event.
- When should I prepare the canoe race start list?
- Close registrations and prepare the start list 2–3 days before the race, then print a final copy on the morning after checking withdrawals. Send the rules and start information to participants before race day.
