What you need for a book fair

A book fair needs more than books and tables. You will need a clear way to sort and price stock, a simple checkout setup, and supplies for registration and signs. Plan the shopping around how many books, sellers and visitors you expect, then add a small buffer for labels, receipts and payment supplies. The list below covers the practical items used to prepare the venue, display books and process purchases on the day.

Tips

  • Prepare one price tag or label for every book, plus extra labels for damaged or missing tags. Keep permanent markers, pens, scissors and tape together at the checkout or sorting table.
  • Set up one dedicated cash point with a folding table, cash register, payment terminal, receipts, pens and clipboards. Test the terminal and bring power strips and extension cords at least one day before the fair.
  • Use book crates, bookshelves, bookends and category cards to keep titles visible and prevent stacks from becoming unstable. Prepare category cards before books arrive so sorting does not delay the setup.
  • Bring a hand truck for moving book crates and furniture, especially if books are collected from more than one location. Put cardboard sheets or a tablecloth under displays that could mark or scratch the tables.
  • Count cups and plates for the expected refreshments before shopping, then add about 10 percent extra. Keep reusable cups, coffee cups, plates and coolers separate from the book display so spills cannot damage stock.

Finish the first sorting and pricing pass at least 1 day before the event. Keep a final 2-hour buffer on setup day for books that arrive late or need new labels.
