What to Bring for a Birthday Picnic
A birthday picnic needs more than sandwiches and a cake. Plan food, drinks, servingware, cooling, seating and weather protection before you shop. For drinks, allow two to three per person for the first hour, then one per person per hour after that. Pack chilled items in cool boxes with frozen ice packs, and bring reusable plates, cups and cutlery so the buffet can run without last-minute shopping. Check dietary requirements before finalising the menu.

Tips
- Allow 2β3 drinks per guest for the first hour and 1 more per guest for each following hour. Chill them in advance and pack extra water separately.
- Use one reusable plate, bowl, cup and cutlery set per guest, plus about 10% extra for dropped or dirty items. Add serving dishes and spoons for every buffet dish.
- Pack at least one cool box for drinks and one for food if the picnic lasts several hours. Freeze the ice packs the day before; soft fruit, dairy and prepared sandwiches should stay cold.
- Bring seating for every guest rather than relying only on picnic blankets. A foldable table, chairs or blankets, and a parasol or party tent are easy to forget until the ground is wet or the sun is strong.
- Collect the cake, knives, bottle openers and thermos flasks before leaving. Put battery lanterns or lights in the same box as the decorations if the picnic may continue after daylight.
Frequently asked questions
- How much food do I need for a birthday picnic?
- Plan 4β6 savoury portions per adult if the picnic replaces a meal, plus 1β2 sweet portions including cake. Add roughly 10% extra when guest numbers are uncertain or children are attending.
- How many drinks should I buy for a birthday picnic?
- Allow 2β3 drinks per person for the first hour, then 1 drink per person for every additional hour. Include water and non-alcoholic options, and chill drinks at least 6 hours before the picnic.
- What should I pack to keep picnic food cold?
- Use cool boxes with frozen ice packs, keeping food below 7Β°C where possible. Freeze the cool packs the night before and keep the boxes closed until serving.
- When should I buy and prepare birthday picnic food?
- Buy fresh food 1 day before and prepare sandwiches and cut fruit on the day, ideally no more than 3 hours before departure. Pick up the cake on the same day and keep chilled items cold until serving.
