Bingo night checklist: what to arrange and when

A bingo night runs smoothly when the practical details are settled before guests arrive. Book the room, confirm the timing, process registrations and check dietary requirements first. Then prepare the bingo cards, balls, prizes and caller’s running order, leaving enough time to test the microphone and arrange the tables. On the day, allow at least 90 minutes for room setup, refreshments and the registration table.

Tips

  • Confirm the final guest count at least 3 days before the event. Use it to sort bingo cards, plan seating, prepare refreshments and check whether you need extra reserve cards.
  • Test the bingo cage, balls, microphone and speaker before guests arrive. Keep extension cords and power strips clear of walkways, and place the bingomaster table where every player can hear the calls.
  • Prepare prizes in labelled packs before setup starts. Display them on the prize table with price tags or clear descriptions so the host can announce each round without searching.
  • Set up the registration table near the entrance and keep confirmed names, spare bingo cards and markers there. Have the welcome table staffed at least 15 minutes before the advertised start time.
  • Plan drinks and snacks around the first hour of play. Put cold drinks in coolers, prepare coffee and tea in thermos flasks, and place plates, cutlery and serving tongs out before the first guests sit down.

Frequently asked questions

How far in advance should I plan a bingo night?
Book the room and confirm the date at least 4 to 6 weeks ahead. Send invitations soon after, then close registrations or confirm the final numbers about 3 days before the event.
How long does it take to set up a bingo night?
Allow 90 minutes for a small event and 2 hours if you are arranging several tables, decorations, refreshments and a registration area. Test the sound equipment before guests arrive, not during check-in.
How many bingo cards should I prepare per person?
Prepare one bingo card for each registered player, plus at least 10% reserve cards. For 50 guests, that means 55 cards, with spare markers available at the registration table.
What equipment do I need for a bingo night?
You need a bingo cage, bingo balls, cards, markers, a caller’s table and a microphone with a speaker if the room is large. Check the equipment at least 1 day before, including cables, power strips and extension cords.
