What you need for a billiards tournament

A billiards tournament needs more than tables and cues. You will also need a reliable way to score matches, keep players on schedule, register arrivals and serve food and drinks between games. Plan tableware and refreshments for the full event, not just the players, and check equipment before the venue opens. This shopping list brings together the playing equipment, furniture, serving items and tournament materials needed to run the day without last-minute shopping.

Tips

  • Allow two to three drinks per person for the first hour, then one drink per person for each additional hour. Chill drinks before opening and keep a separate cooler for backup stock.
  • Provide one cue and one chalking point for each active table, plus spare chalk and at least one bridge for difficult shots. Check cues, ball sets and triangles before participants arrive.
  • Plan one chair for every waiting player and volunteer, then add several high tables for scorekeeping and drinks. A registration desk with clipboards and name stickers prevents the first check-in queue from blocking the playing area.
  • Prepare scoreboards and game clocks before the draw is posted. Print the match schedule, competition posters and certificates early enough to replace a printer problem at least one day before the tournament.
  • Count plates, glasses, mugs and cutlery for all registered participants, volunteers and guests, then add 10 percent. Set out serving trays, tongs, jugs and thermos flasks so the buffet does not depend on one person serving everything.

Frequently asked questions

What equipment do I need for a billiards tournament?
For each active table, plan a billiard cue set, one pool ball set, a triangle and chalk. Add at least one bridge and one scoreboard per table, plus game clocks if matches have time limits; check everything at least 24 hours before play.
How many drinks should I buy for a billiards tournament?
Budget two to three drinks per person for the first hour and one per person for every additional hour. Add about 10 percent extra, especially if spectators and volunteers will use the same drinks station.
How much tableware do I need for a tournament buffet?
Count one plate, glass, mug and cutlery set per guest, volunteer and organiser, then add 10 percent. For 40 people, that means at least 44 of each reusable item, unless you plan to wash items during the event.
When should I prepare the billiards tournament supplies?
Check and pack equipment at least one day before the tournament. Chill drinks several hours before opening, and place scoreboards, clipboards, name stickers and the printed match schedule at the registration area before the first players arrive.
