What you need for a billiards tournament

A billiards tournament needs more than tables and cues. You will also need enough balls, chalk, seating, registration supplies, drinks and serving items to keep matches moving without interruptions. Plan refreshments for the full event, then check power, printing and waste arrangements before tournament day. Use the prepared shopping list as your checklist, and confirm quantities against the number of players, tables and expected spectators.

Tips

  • Allow one complete ball set and a working cue for each table in use, plus spare chalk and at least one backup cue for equipment failures.
  • Plan two to three drinks per person for the first hour, then one drink per person for every additional hour. Chill them before registration opens and keep extra stock in coolers.
  • Prepare one chair for each waiting player and add seating for officials or spectators. A tournament with four active tables can quickly need 16 or more chairs between matches.
  • Print the participant list and match forms before the event, using at least 10% extra copies. Keep a laptop, printer, extension cords and power strips together at the registration table.
  • Set out one waste bin near refreshments and another near the playing area. Bring enough cups, glasses, plates and cutlery for the full attendance, plus roughly 10% spare.

Frequently asked questions

What equipment do I need for a billiards tournament?
For each active table, provide a suitable ball set, cues, chalk and a cue rack. Add brushes, measuring tapes and cones if they are part of your match setup, and keep at least one spare cue available.
How many drinks should I buy for a billiards tournament?
Budget for two to three drinks per person during the first hour and one per person for each following hour. Add about 10% extra for officials, late arrivals and spectators.
How many chairs do I need for a billiards tournament?
Start with one chair per waiting player, then add seats for officials and spectators. For four tables, 16 chairs covers four players waiting at each table; increase that number if matches run longer than expected.
When should I prepare the billiards tournament supplies?
Check tables, cues, balls and power equipment at least 24 hours beforehand. Print forms and arrange refreshments on the day, with drinks chilled and the registration table ready at least 30 minutes before the first match.
