  • Start permits, insurance, and the traffic plan several weeks before registration opens. Route changes made after participants have registered create avoidable confusion.
  • Set volunteer numbers by location, not just by total headcount. Assign people to crossings, registration, bike service, medical support, water or rest points, and the finish area.
  • Send participant information at least 7 days before the marathon. Include the route map, start time, parking or arrival instructions, bib-number details, safety rules, and a deadline for dietary requirements.
  • Prepare the finish area the day before when possible. Test the timing system, printer, walkie-talkies, power strips, and extension cords, and place bike pumps, repair tools, spare inner tubes, and cable ties where support crews can reach them quickly.
