What to Buy for a Benefit Lunch

A benefit lunch needs more than food for the buffet. You also need enough plates, cups, cutlery, serving equipment and clear signs so volunteers can keep service moving while donations are collected. Use your guest registrations and dietary information to set quantities before shopping. Plan drinks separately from the meal, and check early that you have enough tables, warmers, thermos flasks and extension cords for the serving layout.

Tips

  • Allow 1 dinner plate, 1 dessert plate, 1 fork, 1 knife and 1 spoon per guest, plus at least 10% extra for replacements and second servings. Set out coffee cups and water glasses separately so they do not all disappear at the buffet.
  • Base food quantities on confirmed registrations, then add 5–10% for late arrivals and larger portions. Keep special-diet meals clearly separated and label them before guests arrive.
  • Plan 2–3 welcome drinks per person for the first hour, with extra water available throughout lunch. Chill drinks in coolers at least 4 hours before service and prepare water jugs before volunteers arrive.
  • For hot dishes, allow one food warmer or induction plate per hot item, and check that extension cords reach the serving area safely. Test coffee machines and kettles at least 60 minutes before opening.
  • Buy or prepare signs for the welcome point, buffet, menu and donation point no later than the day before. Pack tablecloths, table dΓ©cor, vases and the welcome sign together so setup does not depend on a last-minute shopping trip.

Frequently asked questions

How much food do I need for a benefit lunch?
Use the confirmed guest count as your base and add 5–10% for late arrivals and second servings. Record portions by dish before placing supplier orders, and prepare a separate quantity for each dietary requirement.
How many plates and glasses do I need for a benefit lunch?
Plan one dinner plate, dessert plate, water glass and full set of cutlery per guest, then add at least 10% extra. Coffee cups should cover the expected coffee drinkers plus around 10 spare cups.
When should I buy and chill drinks for a benefit lunch?
Buy non-perishable drinks and supplies several days ahead, then chill drinks at least 4 hours before guests arrive. Set out welcome drinks shortly before opening so they stay cold and easy to serve.
What do I need for the donation point at a benefit lunch?
Prepare a clearly marked donation point with a welcome sign or separate donation sign and any collection materials required by the organiser. Set it up before doors open and brief volunteers on where donations go.
