Beer Brewing Workshop Checklist

A beer brewing workshop needs more than a recipe and a brew kettle. You must confirm the venue, reserve and test the brewing equipment, manage registrations, and prepare clear safety instructions before participants arrive. The final days are also when details get missed: chilled tasting beer, dietary requirements, measured ingredients, and enough glasses for each workstation. Use this checklist to work through the preparation in order, from confirming the date to welcoming the group.

Tips

  • Confirm the participant list and dietary requirements before shopping. This gives you a fixed headcount for snacks, drinks, tasting glasses, plates and cutlery instead of estimating at the last minute.
  • Reserve the brew kettle, burner, gas cylinder, mash tun, filter tun and cooling equipment early. Check that hoses, thermometers, scales and measuring tools are available and compatible before the workshop day.
  • Write the programme and safety rules before setup, including burner use, hot wort, lifting equipment and where participants should stand. Post the rules at the registration desk and repeat them before brewing starts.
  • Prepare ingredients in measured batches rather than weighing everything while participants wait. Check the recipe, shopping list and water requirements at least one day before the workshop.
  • Chill the beer for tasting and prepare snacks before participants arrive. Set out sample glasses separately from drinking glasses, and leave time to collect the venue keys and check the burner and brew kettle.

Frequently asked questions

How far in advance should I plan a beer brewing workshop?
Confirm the date, location and equipment at least 3 to 4 weeks ahead. Send invitations early enough to close registrations and finalize the participant list several days before the workshop.
What equipment do I need for a beer brewing workshop?
Plan for a brew kettle, gas burner and gas cylinder, mash tun, filter tun, cooling equipment and fermentation vessel. You also need measuring and testing tools such as a digital scale, thermometers, pH meter and hydrometer.
How much beer should I buy for the tasting?
Allow 2 to 3 tasting samples per participant and keep the beer chilled until serving. Buy the tasting beer after the final participant count is known, ideally 1 to 2 days before the workshop.
When should I set up a beer brewing workshop venue?
Start setup at least 2 hours before participants arrive. Use that time to arrange tables and workstations, test the burner, position the equipment, post safety information and prepare registration and refreshments.
