What you need for a beach run

A beach run needs more than race bibs and a finish line. You will need supplies for marking the route, keeping runners hydrated, managing luggage and handling wind, sun or minor injuries. Buy or collect disposable cups, drinking water containers, coolers, first aid kits and emergency blankets early, because these are easy to overlook until setup day. Use your final registration count to calculate bibs, medals, drinks and cups, then add a small reserve.

Tips

  • Plan one race bib and one bib strap per registered runner, plus 5–10% extra for damaged or late-issued numbers. Sort the bib numbers before event day so registration volunteers are not searching through a box.
  • For water stations, prepare at least 250–500 ml of water per runner for a short beach run, divided between the start, finish and any course station. Add extra cups and keep sports drinks chilled in coolers if you are serving them.
  • Bring route signs and directional signs for every turn, entry point and junction, with at least two spare signs. Cones and barrier tape should cover the start and finish area, volunteer positions and any section where runners could leave the course.
  • Pack one first aid kit at the finish and another with the course team, plus emergency blankets for at least 5% of the field. Safety vests for traffic posts and volunteer vests should be ready before the briefing starts.
  • Allow setup space for the start and finish arch, party tents, tables and the folding counter, and bring extension cords and power strips only after checking the beach rules and available power. Pack a stopwatch, megaphone, clipboards, printer supplies and a laptop in a labelled event box.

Frequently asked questions

How much water do I need for a beach run?
For a short beach run, plan 250–500 ml per runner, depending on temperature, distance and the number of water stations. Add at least 10% extra and keep the water chilled in coolers where possible.
How many race bibs and medals should I buy?
Buy one bib, one bib strap and one finish medal per registered runner, then add 5–10% spare bibs and straps. Order medals for the expected finishers plus a small reserve if late registrations are possible.
What safety equipment is needed for a beach run?
Prepare first aid kits, emergency blankets, cones, barrier tape, route signs, directional signs and safety vests for traffic posts. Have at least two first aid kits for a course with separate start and finish areas, and enough emergency blankets for 5% of participants.
When should I buy supplies for a beach run?
Buy durable equipment and printed bibs at least 2–3 weeks before the run. Purchase water, sports drinks, ice and other perishable items 1–2 days beforehand, after checking the forecast and final registration count.
