Tips

  • Set the categories, prizes and judging process before inviting guests. Keep the nominee list in one shared document and allow at least one review round before certificates are printed.
  • Send invitations early enough to process registrations and collect dietary requirements before catering numbers are final. Send a reminder several days before the ceremony, not the evening before.
  • Write the programme and speaking notes before the final week. Include realistic time for winner announcements, certificate handovers, performances, videos and transitions between presenters.
  • Test the full AV setup on site, including wireless microphones, speakers, projector, screen, laptop, HDMI cables and power strips. A short soundcheck is not enough if videos or presentations are part of the programme.
  • Check prizes, certificates, name badges, the printed registration list and directional signs before guests arrive. Lay out the room with chairs, tables, stage sections, lectern and coat racks so the registration area does not block the entrance.
