Association Congress Checklist
An association congress depends on many details being ready at the same time: the programme, speakers, registrations, catering and room setup. This checklist brings 72 planning tasks and 54 required items into one sequence, from setting the date to opening the registration desk. Use it to identify deadlines early, especially for speaker information, dietary requirements, presentations and technical checks. The final venue walkthrough helps prevent missing cables, badges, printed lists or correctly arranged seating on the day.

Tips
- Set the date and reserve the venue before confirming the programme or speakers. Check the room layout, stage table, lectern, registration desk, coat racks and waste bins during the venue check rather than waiting until setup day.
- Open registration as soon as the invitation is ready, then collect dietary requirements during the registration process. Send a reminder before the congress and use the final registration count to place the catering order.
- Give speakers a clear briefing deadline and collect their presentations before the event. Test the laptop, projector, screen, HDMI cables, adapters, clicker and microphones with the actual room setup.
- Prepare badges, the printed programme and participant list after registrations have been processed. Keep the participant list at the registration desk and allow time to correct names before printing.
- Plan the room setup as a separate final phase: mark the layout, arrange tables and chairs, chill drinks, and check power strips and extension cords. Set up the registration table before participants arrive so check-in does not compete with technical preparations.
Frequently asked questions
- How far in advance should I start planning an association congress?
- Start at least 12 weeks before the congress if you need to reserve a venue, confirm speakers and open registration. Use the final 2 weeks for reminders, dietary requirements, presentations, printed materials and equipment checks.
- When should speakers submit their presentations?
- Set a submission deadline 7 to 10 days before the congress. This leaves time to test every presentation on the event laptop and resolve HDMI, adapter, projection or audio problems.
- When should I order catering for an association congress?
- Place the catering order after registrations and dietary requirements have been reviewed, normally 7 to 10 days before the event. Confirm the final headcount and meal restrictions again 2 to 3 days beforehand if the caterer allows changes.
- What should I check at the venue the day before an association congress?
- Check the room layout, tables, chairs, registration desk, stage table, lectern, coat racks, waste bins and power access the day before. Also test the projector, screen, laptop, microphones, speakers and presentation clicker before the first participant arrives.
