Ash Wednesday service checklist

Use this checklist to organise an Ash Wednesday service in the right order, from securing the church and confirming the officiant to preparing the liturgy, music, ash, and reception. It also covers the details that are easy to leave until the last day, including printed programmes, dietary requirements, sound checks, candles, and coffee supplies. Set up the worship space before guests arrive, then keep the reception equipment and drinks ready for a smooth transition after the service.

Tips

  • Reserve the church and confirm the officiant before inviting people; allow at least four weeks if the service depends on a specific date or minister.
  • Finalise the liturgy and songs early enough to send the programme to musicians and print copies. Prepare the ash separately and check that the altar candles, ashtrays, and purple cloths are ready before setup begins.
  • Ask for dietary requirements when people register, then use the final headcount to plan cups, glasses, cake plates, napkins, and refreshments. Close registrations or confirm numbers at least three days before the service.
  • Test the mixer, speakers, wireless microphones, microphone stands, extension cords, and power strips before people arrive. A short sound check 60–90 minutes before the start leaves time to replace a cable or reposition a speaker.
  • Set up chairs, reception tables, the altar table, candles, ash, instruments, and the coffee corner in separate stages. Chill drinks and fill thermos flasks only after the church hall has been cleaned and the main furniture is in place.

Frequently asked questions

How far in advance should I plan an Ash Wednesday service?
Start booking the church space and confirming the officiant at least four weeks ahead. Finalise the liturgy, songs, musicians, and invitations during the following two weeks, leaving the final week for registrations, printing, shopping, and setup.
When should I prepare the ash for an Ash Wednesday service?
Prepare and check the ash no later than the day before the service, then place it with the ashtrays during the final setup. Keeping it covered until setup prevents spills and avoids a last-minute search for supplies.
How early should I arrive to set up an Ash Wednesday service?
Allow 90 minutes for setup if the chairs, tables, altar, candles, sound system, instruments, and coffee corner all need arranging. Complete the sound check at least 30 minutes before the service starts.
When should I print the programmes for Ash Wednesday?
Print the programmes two or three days before the service, after the liturgy and song choices are final. Sort them before guests arrive so they can be placed on the chairs or handed out at the entrance.
