  • Set the registration and payment deadlines at least 14 days before departure. That gives you time to follow up, confirm numbers with the restaurant and activity provider, and order the right amount of catering.
  • Check participant details twice: once after registration closes and again 48 hours before departure. Compare names, dietary requirements, emergency contacts and transport needs against the final list.
  • Share the route, meeting point and departure time no later than 7 days beforehand, then send a reminder 24 hours before leaving. Include the expected travel duration and a contact number for delays.
  • Prepare one package per participant at least 2 days before the trip. Add the program leaflet, route information, name sticker and any envelope or gift item, then keep the participant list separately for check-in.
