Tips

  • Plan one yoga mat per participant, then add a small reserve if several sessions run at once or attendees may forget theirs. Count blocks, straps, blankets and bolsters by session rather than assuming one set will cover the whole day.
  • Provide drinking water throughout the day: allow roughly 1.5 to 2 litres per participant, using water jugs, reusable cups or glasses. Fill and chill what can be prepared ahead, but keep fresh produce and other chilled ingredients cool until serving.
  • Match plates, bowls, cutlery and serving spoons to the meal format, not just the guest count. For a shared soup meal, prepare at least one bowl and one complete cutlery set per person, plus around 10% extra for replacements.
  • Test the portable speaker, wireless microphone, laptop, extension cords and power strips at the venue before participants arrive. Charge or connect everything during setup so a guided meditation or schedule announcement does not depend on a last-minute cable search.
  • Bring the welcome sign, route signage and reception supplies before opening the venue. Set aside a clearly labelled box for yoga props and another for kitchen items, which makes packing up faster after the final session.
