- Set the schedule before opening registration. Include arrival and registration time, each class or workshop, meal breaks, meditation sessions and a clear finishing time so participants know what they are signing up for.
- Close registrations early enough to calculate meals and collect dietary requirements. Update the participant list at least 2–3 days before the event, then use it to confirm portions, seating and welcome-desk materials.
- Check yoga equipment by room, not just by total quantity. Count the mats, blocks, straps, cushions, bolsters, blankets and eye pillows needed for each session, and arrange replacements before setup day.
