- Send the final program and practical details 2 to 3 days before the workshop. Include the start time, arrival instructions, what participants should bring, and when coffee or tea will be available.
- Test the presentation setup before participants arrive. Connect the laptop, projector, projection screen, HDMI cable, power strips, and extension cords, then run through the first slides rather than checking only that the equipment switches on.
- Prepare one complete place setting per participant: a worksheet, notepad, pen or pencil, name badge, and any sticky notes or markers needed for the exercises. Keep a small extra supply aside instead of putting every item on the tables.
