Tips

  • Prepare one quiz booklet, answer form, route map, clipboard and set of pens for every team, plus at least 10% spare copies and pencils. Keep the spares at the information desk.
  • Use arrows, directional signs, cones, markers and tape at route points where teams could turn the wrong way. Pack them by location so volunteers can place them quickly during setup.
  • For refreshments, plan reusable cups, plates, cutlery and serving trays for the full group, with extra cups for people who return for a second drink. Keep cold drinks in coolers and place coffee cups near the coffee machines or kettles.
  • Check the starting location’s power supply before bringing coffee machines, kettles or other equipment. Take extension cords and power strips, and test them before participants arrive rather than discovering a missing connection during registration.
  • Give each team a clear identification method and keep score sheets together with the answer forms. Bring a mobile phone and megaphone for last-minute route updates, announcements and contacting volunteers.
