  • Set a registration deadline several days before the meeting so you can count meals, record dietary requirements and prepare the attendance list without guessing.
  • Allow at least 60–90 minutes for room setup. Tables, chairs, buffet stations, coat racks, waste bins and the name table all need to be in place before the first volunteer arrives.
  • Keep chilled drinks in coolers until the drink station is ready, and connect coffee machines and hot-water boilers only after checking the available power points, power strips and extension cords.
