- Fix the date, programme and venue before inviting anyone. Include arrival time, work blocks, breaks and the expected finish so volunteers can commit to the full day.
- Send invitations early enough to process registrations and collect dietary requirements. Send a reminder several days before the event, including the arrival time, parking or access details and what volunteers should bring.
- Print name badges, work orders and the run sheet before the event day. Print a few extra copies of each so late registrations or last-minute changes do not leave anyone without instructions.
- Set up the reception desk before volunteers arrive, with the registration list, badges and programme copies together. Assign at least one person to welcome people while other organisers finish the room setup.
- Prepare food and drinks in separate stages: chill drinks in coolers, keep hot dishes in food warmers, and set out reusable plates, cups, cutlery and serving utensils only after the buffet tables are ready.
