- Bring at least one match ball per active court, plus one spare ball for the tournament. Check every ball the day before and pack a pump with spare ball valves.
- Prepare one scoreboard and a full set of score sheets for each court in use, with spare printed forms in case of mistakes. Pack whistles and provide one referee chair per court.
- Give each team a complete set of team bibs or another clear identifier. Sort them by team before registration so assignments do not slow down the schedule.
- Plan reusable cups, plates, cutlery sets and coffee cups for the full participant and volunteer count, then add roughly 10% extra. Cups are often the first serving item to run out.
- Fill coolers before doors open and test coffee machines, kettles, the printer, laptop, speaker and megaphone in advance. Take extension cords and power strips, but keep cables away from playing areas and walkways.
