  • Reserve the sports hall early and confirm exactly what it provides. Check whether nets, posts, balls, scoreboards, changing-room benches and tables are included or need separate reservation.
  • Send the final schedule and participant information at least 3–5 days before the tournament. Include arrival time, check-in point, rules, parking or access details, food arrangements and what teams should bring.
  • Assign volunteers to specific jobs rather than asking for general help. For a full tournament day, plan cover for check-in, scoring, court changes, catering and first aid, with one backup person for each critical role.
  • Complete the equipment and catering check on the day before. Inflate the volleyballs, test the pump and ball needles, check spare balls and line-marking tape, chill drinks, and place water, food and waste bins where teams can find them.
