What you need for a village quiz

A village quiz needs more than questions and a projector. You will need enough answer sheets, pens, team number cards and score sheets for every team, plus a few spares. Check the hall’s furniture, power supply and serving equipment before shopping. Drinks should be chilled in advance, prizes bought early, and dietary requirements confirmed before you order or prepare food.

Tips

  • Prepare one quiz booklet, answer sheet, score sheet and team number card for each team, then add at least 10% spare copies. Keep spare pens at every table so one missing pen does not delay a round.
  • Count tables and chairs against your final team list, not your expected attendance. Allow one table per team and keep at least two spare chairs available for late changes or helpers.
  • Test the laptop, projector, screen, microphone and speakers in the hall at least one day before the quiz. Pack extension cords, power strips and charging cables, because the nearest usable socket is rarely beside the quizmaster.
  • Plan serving equipment from the menu: reusable glasses for every guest plus 10% extra, and enough coffee cups, plates, cutlery and serving platters for the full meal or buffet. Confirm dietary requirements before buying food.
  • Buy prizes no later than one week before the quiz and store them with the tie-break form and score sheets. Chill drinks for several hours before doors open; a small fridge may not cool a full purchase quickly.

Frequently asked questions

How many quiz sheets do I need for a village quiz?
Prepare one quiz booklet, answer sheet and score sheet per team, plus at least 10% spare copies. For 20 teams, print 22 sets and number the answer forms before setting up the tables.
How many pens should I buy for a village quiz?
Provide at least two pens per team and keep 10 to 20 spare pens at the quizmaster’s table. For 20 teams, that means 40 pens in use and at least 10 spares.
When should I buy prizes for a village quiz?
Buy the prizes at least one week before the event. This gives you time to replace an unavailable item and keeps prize decisions separate from the final setup rush.
How far in advance should drinks be chilled for a village quiz?
Chill drinks for at least 4 to 6 hours before guests arrive. If the hall has limited fridge space, bring cool boxes or chill some drinks in advance and refill the fridge during setup.
