Veterinary Information Evening Checklist

Use this checklist to organise a veterinary information evening in the right order, from choosing the programme to welcoming participants. It covers the details that are easy to leave too late: confirming speakers, checking dietary requirements, preparing handouts and testing the projector and microphones. Allow time for both registration and questions, and give the presentation space a full technical test before guests arrive. The complete plan also keeps catering, signage and name badges tied to the final registration list.

Tips

  • Confirm the veterinarian and other speakers before sending invitations, then collect their presentations early enough to check slides, file formats and equipment compatibility.
  • Close registration with enough time to print the participant list, prepare name badges and check dietary requirements. Keep a few blank badges and registration forms at the desk for late arrivals.
  • Test the laptop, projector, screen, wireless microphones, speakers, extension cords and power strips together in the actual presentation space, not separately in storage.
  • Set up the registration table before the catering area. Place the participant list, pens, name badge holders and handouts there so each visitor can be checked in without blocking the entrance.
  • Prepare the coffee and tea point, chilled drinks, plates, cutlery and serving platters before speakers arrive. Keep the room layout clear around the presentation area and leave visible signs for registration, seating and refreshments.

Frequently asked questions

How far in advance should I organise a veterinary information evening?
Start planning at least 6 weeks before the event. Confirm the veterinarian, venue and programme first, then send invitations early enough to collect registrations and dietary requirements before printing materials.
When should I confirm the veterinary speakers?
Confirm speakers before invitations are sent, preferably 4 to 6 weeks ahead. Request their presentations no later than 1 week before the evening so you can check the slides and prepare handouts.
How many registration materials do I need?
Prepare one participant-list entry, name badge and handout per registered guest, plus at least 5 blank name badges and several extra registration forms for changes or walk-ins. Print the final list on the day before the event.
When should I test the projector and microphones?
Complete a full equipment test at least 60 minutes before guests arrive. Test the laptop, projector, screen, wireless microphones, speakers and power connections in the final room layout, with each speaker using the microphone.
