Upcycling workshop checklist
An upcycling workshop needs more preparation than a standard craft session because every project starts with different reclaimed materials. This checklist takes you from booking the venue and collecting registrations to testing materials, preparing examples and setting up safe workstations. Plan the room around the number of tables and participants, not just the available floor space. Leave enough time before opening for material sorting, equipment checks and a final safety walk-through.

Tips
- Confirm the venue and workshop leaders before sending invitations. Registration numbers affect the number of tables, chairs, workstations, name badges, worksheets and material portions you need.
- Collect and inspect reclaimed materials at least one week before the workshop. Clean them, remove unsafe pieces and prepare a few finished samples so participants can see the intended result.
- Prepare one workstation per small group and distribute materials before participants arrive. Put cutting mats under craft knives, keep glue guns near a power strip and leave clear access to waste bins.
- Test the laptop, projector or screen, speaker, extension cords and power strips during setup. A presentation that works at home can fail in the room because of missing connections or limited sockets.
- Set aside a separate registration and presentation area, then prepare refreshments after the tables are in place. Chill drinks and arrange reusable cups, plates and cutlery close to the serving area, not beside sharp tools.
Frequently asked questions
- How far in advance should I organise an upcycling workshop?
- Book the venue and confirm workshop leaders at least 4–6 weeks ahead. Send invitations once the date, capacity and basic project information are fixed, then use the final week for material checks and printing.
- How much reclaimed material do I need per participant?
- Prepare at least one complete project’s worth of usable material per participant, plus roughly 10–20% extra for damaged pieces, mistakes and late registrations. Sort the materials before the day so each table receives a balanced selection.
- When should I set up an upcycling workshop?
- Allow 90–120 minutes before participants arrive for tables, chairs, workstations, presentation equipment, registration and refreshments. Complete the safety check after all tools and cables are in their final positions.
- What safety equipment is needed for an upcycling workshop?
- Provide cutting mats, craft knives, scissors, rulers and suitable hand tools, with one clear working area per table. Check every reclaimed item before use, keep cables away from walkways and explain the workshop rules when participants arrive.
