What you need for a three-day cycling event

A three-day cycling event needs more than bikes, food and water. You will need supplies for registration, route marking, rest areas, meals, communication and basic bicycle support. Plan separate stock for each day, then add a reserve for damaged signs, missing cups and unexpected riders. The list below covers the physical items to buy or bring, while your route, participant and safety plans determine the final quantities.

Tips

  • Count tableware and reusable cups for your busiest meal service, not your average day. For a group of 100 riders, prepare at least 110 cups, plates and sets of cutlery so replacements do not stop service.
  • Prepare route signs, directional signs, cones and barrier tape at least 48 hours before the first ride. Pack them by route section and keep a separate reserve of 10% for weather damage or missing signs.
  • Allow one registration place for every 75 to 100 participants arriving in the same 30-minute period. Bring printed participant lists, wristbands, pens, chargers and a power strip to keep check-in running when phones are low.
  • Match cooling and hot-food equipment to the longest service window. Give every rest area its own cooler and serving utensils, and test coffee machines, kettles, food warmers and extension cords at least one day before use.
  • Set up bicycle racks, bike pumps and waste bins before riders arrive at each key stop. Place one waste bin near registration, every food station and the final venue, then empty them before they overflow.

Frequently asked questions

How much tableware do I need for a three-day cycling event?
For each meal service, plan one plate, bowl and full set of cutlery per participant, plus 10% spare. Provide at least two reusable cups per rider per day if cups are collected and washed between uses; otherwise plan three to four per rider per day.
When should I buy supplies for a three-day cycling event?
Buy reusable equipment, route-marking materials and signage at least 2 to 3 weeks ahead. Purchase food-service disposables and other consumables 3 to 5 days before the event, then check quantities again 24 hours before setup.
How many route signs and cones do I need?
The number depends on your route survey, but count every turn, junction and hazard separately. Prepare at least 10% extra signs and cones, and pack each route section so volunteers can place everything without returning to the start.
What equipment do I need at cycling event rest areas?
Each rest area should have its own cooler, waste bins, serving utensils, cups and food-service supplies. Add a bike pump, route information, emergency contact details and enough spare stock for the busiest expected 30-minute period.
