- Allow at least one new tennis ball per match, plus two spare balls per court for lost or damaged balls. Keep spare rackets and an extra ball basket at the registration area rather than searching for them during play.
- Set aside one table for registration and another for prizes and refreshments. Put scoreboards, scorecard holders, whistles, cones and competition forms together by the courts the evening before.
- Plan refreshments by time, not just by headcount: provide two to three drinks per player for the first hour, then add water for every later hour of play. Chill drinks in coolers before players arrive.
- Prepare reusable cups, plates, cutlery, coffee cups and serving platters before food is delivered. Two serving points can prevent a queue when several matches finish at the same time.
- Check power and weather supplies at least 24 hours ahead. Test extension cords, power strips, chargers and LED work lights, and confirm that party tents, tables and chairs can be set up before rain arrives.
