What you need for a Technology Day
A Technology Day needs more than laptops and a projector. You will need enough workstations, shared electronics, hand tools, power access and charging points for every workshop group. Order specialist equipment early, especially microcontrollers, robot kits, sensors and 3D printers. Check dietary requirements before placing the catering order, and buy drinks, labels and printing supplies close enough to the event that nothing is missing or stale.

Tips
- Plan one complete workstation per small group, then add a few spare components. For electronics sessions, count breadboards, jumper wires, LED sets, resistance bands and sensor sets by group rather than by event.
- Order technical equipment at least 3β4 weeks ahead if it comes from a supplier. Include extra USB cables, crocodile clips, solder and batteries because these are easy to lose or damage during practical workshops.
- Count power points before buying extension cords and power strips. Keep at least one charging station for every 6β8 laptops or devices, and test every cable and power connection before participants arrive.
- Provide enough safety and hand tools for simultaneous work. A practical starting point is one multimeter, screwdriver set and pair of cutters or stripping pliers per workstation, with spare tools for the busiest session.
- Buy refreshments only after registration closes and dietary requirements are collected. Allow roughly 2β3 drinks per person for the first hour, then 1 drink per person for each additional hour, plus water throughout the day.
Frequently asked questions
- What equipment do I need for a Technology Day?
- Most Technology Days need laptops, microcontrollers, robot kits, projectors, screens, extension cords, power strips and charging stations. The workshop format determines whether you also need 3D printers, soldering stations, multimeters or portable speakers.
- How many laptops do I need for a Technology Day?
- Provide one laptop for each participant if the work is individual, or one for every 2β3 participants when they work in pairs or small groups. Add 1β2 tested spare laptops for a full-day event.
- How early should I order Technology Day equipment?
- Order specialist equipment 3β4 weeks before the event and confirm delivery one week later. Test laptops, software, cables and workshop hardware at least 3 days before the first session.
- How much food and drink should I buy for a Technology Day?
- Plan one lunch portion per attendee, plus 5β10% extra for unexpected guests or larger appetites. For drinks, allow 2β3 per person during the first hour and one per person for every additional hour, with water available all day.
